How to test standard eConsent/ePRO forms

Registration and invitation

  • Log in as an investigator (you can create an investigator account for yourself, see here). By default, only investigators can invite participants to complete ePRO forms; however, this can be changed by editing user permissions.
  • Create a dummy participant by clicking the 'Add participant' link (or 'Randomise', or similar) and completing the study entry (or randomisation) form.
  • Invite the participant to eConsent/ePRO by completing the participant invitation form. To do this, the participant must be selected from the participant list and the Invite link used (see image below).

  • When completing the participant invitation form, you need to provide a 'participant' email address; this must be an email address that you have access to in order to check you receive the invitation emails.
  • Set 'Sent links in invitations' to Yes.
  • The time of day at which automatic invites and reminders will be sent can be specified.

  • Alternatively, if you are testing eConsent with public registration, click on the registration link provided by SE and complete the registration form providing a 'participant' email address; this must be an email address that you have access to. Once the form is completed, check you are taken to the 'Start' screen, which should take you directly to the consent form.

Invitation emails

  • Log into the 'participant' email account and check you have received a welcome email.
  • If you are testing eConsent, a further invitation email with the link to complete the eConsent form should be received automatically (might take a few minutes).
  • For ePRO forms, check that you receive further emails with links to complete the forms according to the invite schedule.
  • When testing eConsent (and/or ePRO forms that are due on the date the participant is registered), make sure that you register and invite the participant on the same date. If you invite the participant the next day or later, the automatic email invitation will not be scheduled to be sent (automatic invitations are never scheduled to be sent for a visit due in the past). In this case, you need to send an invitation manually from the invite page ("Send invitation now" button on the right).
  • Invites for forms in visits that are not scheduled (i.e. set to 'At any time') will need to be sent manually, as they will not be sent automatically.

eConsent/ePRO forms

  • Open the invite links sent via email or SMS and check the forms to be completed appear correctly.
Forms to be completed
  • It's best to open the invite links in a different browser or incognito/private window to the one you are using with your normal user account. This is because a cookie is set in your browser to indicate you are a participant, and this cookie prevents you logging in with your usual account. To clear this cookie visit this link.
  • Enter data on the eConsent/ePRO forms and check that they are behaving as expected.
Consent form
  • If you are testing eConsent, depending on the specific requirements of your trial, check that once you complete the eConsent form, you automatically receive an email with a PDF version of the consent form. Alternatively, you may need to log in as an investigator and complete the Investigator sign-off form before the PDF is generated; check that completing this form triggers the email with the PDF for the participant.
Investigator verification form
  • Log in as an investigator and check that the consent PDF is stored in the participant's record and can be viewed and downloaded. Again, by default, only investigators can view and download the PDF, but this can be changed by editing user permissions.
